What to Do When Someone Complains in Public

Sooner or later somebody posts something bad about you where everyone can see it. Handled well, that comment earns you more trust than ten happy posts.

Answer in public, fix in private

Deleting a complaint tells the next hundred readers you hide problems. Reply in public with one short line that shows you read it, then move the details to a chat or a phone call.

A reply that works, every time

Keep it short and specific. Long defensive replies always look worse than the complaint.

  • Say what happened in their words, so they know you understood.
  • Say what you are doing about it, with a time.
  • Give one way to reach a real person.
  • Stop. Do not add why it was not your fault.

Never argue about who is right

People reading are not judging the facts, they are judging your temper. The shop that stays calm looks like the safer place to spend money, even when the complaint was unfair.

Keep the fix, it is content

If two people complained about the same thing, that is a video. Show the change you made. Customers believe a business that admits something and mends it far more than one that has never been wrong.

Real examples

Bad line, good line.

Most people write

Deleting the comment and blocking the person.

Say this instead

"You waited three days for a reply and that is on us. Ram will call you today, here is the number."

Most people write

Four paragraphs explaining why it was not your fault.

Say this instead

Two lines, then the rest of it in a private chat.

Full example

Worked example: a late delivery, posted in public

01Reply in public within the hour: what happened, what you will do, who will call.
02Fix it privately, then confirm in the same thread that it is sorted.
03If two people report the same problem, film the change you made.

Understood

Their problem, in their words.

What you will do

One action, with a time.

A real person

One way to reach someone who can fix it.

Long defensive replies always look worse than the complaint.

Nobody expects a perfect shop. They expect one that answers.

Do this week

Three things you can do now.

01Write your standard first reply for a complaint before you need it.
02Reply to every unanswered comment on your page this week, oldest first.
03Film one video about a thing you changed because customers asked.
